Terms and Conditions for Services Provided by KGN Airport Cars

Please note that by entering our site or making a booking, you are accepting our Terms and Conditions as contained herein.

We explicitly act as Principal when contracting with us to provide you a car transfer. Your contract is solely with KGN Airport Cars, who will source and provide the required car transfer. Any problems, changes, or amendments will be undertaken with KGN Airport Cars. Both you and we agree to be bound by the Terms and Conditions found on this page.

Definitions:

  • “Contract” means a contract for the provision of Transport Services for Customers made by KGN Airport Cars.
  • “Booking” means any booking or reservation made using the Site.
  • “Site” means www.kgnairportcars.com.
  • “You, your” means you, a visitor to the Site, or the person making the Booking.
  • “User” means any person, firm, or company using the Site for any purpose.
  • “Passenger(s)” means the Customer and such persons who the Customer shall authorize and/or permit to make use of the Passenger Services by traveling in a Passenger Vehicle. By agreeing to or using the Services, each Passenger agrees to be bound by these Terms and Conditions.
  • “Waiting time Charge” means a fee payable by the Customer to us in accordance with detailed in the Price List.
  • “The Company” shall refer to KGN Airport Cars, including any of its authorized personnel, and “the Customer” is any party who accepts an offer of the Company for the sale of its Services.
  • We, our, us” means KGN Airport Cars.

Booking Terms and Conditions:

1.1. All prices are in GBP and are inclusive of VAT (where applicable).

1.2. KGN Airport Cars are available online 24/7. The operation contact number is +44 20 7183 1835.

For all airport pick-ups, we track the flight and amend the “requested pickup” time according to the actual “flight landing time.” This is so that the driver is in the arrivals hall at the agreed pickup time. For Airport pick-up, KGN Airport Cars booking form contains: Flight no: This is to track the flight and the time at which your flight is scheduled to land.

After the requested pickup time, there will be a 30-minute FREE waiting time at the airport. Our driver will be waiting for you in the arrivals hall, with a “name board” with your name on it. They will then accompany you to the vehicle. If you realize that you will not be able to meet the driver within the 30 minutes, then if you contact us, we will hold the driver in the terminal at the below-shown cost. For example, if your flight lands at 10:00 am, and you have requested your pickup time to be 60 mins after the flight landing time; our driver will be in the terminal at 11.00 am. The driver will wait till 11:30 am FREE of charge. After this time, the below charges will apply. Maximum waiting time is 90 minutes after the free waiting time. After 90 minutes of free waiting time, the company reserves the right to record the booking as “No show” and full fare will be charged to the customer, and no refund will be issued.

Our driver will be waiting for you in the arrivals hall, with a “name board” with your name on it.

If you cannot locate your driver and you seek an alternative method of transport without first contacting KGN Airport Cars to try and resolve the situation, you will be charged the tariff rate based on the service booked.

Except for the airport pickups (rules indicated above), once the FREE waiting times are up, all other above-mentioned pickups will be recorded as a no-show and invoiced as normal.

For all other pickup locations, the maximum waiting time is 10 minutes; thereafter, the customer will be charged £0.50 per minute for a further 10 minutes, and after a total of 20 minutes of waiting time after the agreed pickup time, the booking will be considered as a “no show” from the customer, and full fare will be charged to the customer.

Passenger and Luggage Allowance – Please be advised that we operate strict guidelines to passenger capacity and luggage allowances in our vehicles. Please use the Vehicle Capacity filters on the vehicle selection page to view vehicles suitable for the number of passengers and luggage items.

If passenger or luggage numbers exceed the recommended amount for the vehicle you have chosen, we cannot facilitate the booking, and you will be charged for the total amount of the booking. If you are not sure which vehicle to choose, contact us, and our team will be happy to advise you.

Accessibility – Unfortunately, our vehicles are not wheelchair accessible at this time.

You are welcome to provide and fit your own child seat. Under TfL regulations, please be advised that our drivers are unable to provide or fit child seats on your behalf.

Children aged 0-3

Children aged 0-3 may sit on an adult’s lap in the rear seats of our vehicles and do not need to use a child car seat or a seat belt. Children sat on an adult’s lap may be excluded from the total passenger number for the vehicle.

Children aged 3-13

Children aged 3-13 are required to use a seat belt in the rear seats of our vehicles. Children do not need to use a child car seat in our vehicles under UK Legislation.

Children aged 14+

Children aged 14+ and over 135cm in height may sit in the front or rear seats of our vehicles and must wear a seat belt.

GENERAL T&C:

We cannot be held responsible for any late arrival to the destination, airport, cruise port, or postcode for any reason. Hence, we will not accept any responsibility for missed flights or ships.

We shall be under no liability to the Customer whatsoever for any indirect loss and/or expense (including loss of profit) suffered by the Customer arising out of a breach by the Company of these terms and conditions.

We will not accept late bookings online (within 4 hours of transfer time), subject to drivers’ availability.

We accept no responsibility for any loss or damage to property, howsoever such loss or damage may be caused. In the event of property being left in a vehicle, we will keep it safe for customer collection. In case, if far distance then can arrange a return on the cost of postage only.

All our vehicles are non-smoking.

We reserve the right to charge a £15 supplement to the passengers if the passengers arrive with excess luggage and where this luggage will need to be placed inside the vehicle (at the driver’s discretion and consent).

We will charge a vehicle valeting fee of £100.00 for any damage to their vehicle made by the customer (e.g., vomiting, spilling liquid or food to the vehicle).

We reserve the right to refuse to transport any Passenger who behaves in a disorderly, threatening, or abusive manner.

We reserve the right to charge the Customer extra if the customer wants to take a different route than the company route; the charge will be £3 per mile.

Guide dogs are allowed in our vehicles.

Cancellation Policy

Cancellation notice periods and fees are as follows:

  • FREE cancellation if cancellation made more than 24 hours before the transfer time; We will only charge £20.00 administration fee.
  • 50% cancellation charge of the booking price if cancellation made within 12 to 24 hours delivery time.
  • 100% cancellation charge of the booking price if cancellation made within 0 to 12 hours of delivery time.

REFUNDS could take up to 15 working days to process, if applicable.

NO-SHOW

If the customer does not show up for a ride, we will apply the booking as a no-show and will charge the full amount of the booking.

Waiting times and pickup rules are mentioned above in terms and conditions.

We accept Cash, and most credit cards as a means of payment. There is no extra charge for credit card payments up to £60.

Payments are secure: We do not store in any way your credit card details. Payments will be using Secure Socket Layer (SSL) technology. Credit card numbers are protected with a high level of encryption when transmitted over the Internet.

Amendments

Any charges to the booking (Date, time, pickup locations, etc.) can be made before 24 hours of pickup time but you accept and agree that this is subject to availability, cannot guaranteed and additional costs which that amendment may incur.

Delays

You acknowledge that your Booking is for a specific time and if you are not available at that time, we may cancel the Booking but retain the fee.

You acknowledge that We cannot guarantee the arrival time at your destination and that we have no liability if there is any delay.

Others

If you experience delays or difficulties with your Booking, you must contact us as soon as you can.

We do our very best to make sure that you do not experience any problems but if you do, you must tell us straight away.

we deny liability for any losses of all kinds which you incur from visiting the Site. You use the Site at your own risk.

We don’t control any of the websites we link to and so we can’t be responsible for the content of such websites and disclaim liability for any losses which come out of you using them.

Just because we link to a site does not mean that we endorse or recommend that site.

If you find any link, we offer to be offensive, please let us know and we will consider removing it.

If you link to any other site using the Site, then you understand that separate conditions will apply to those sites and that we have no control over those conditions – so you agree that you will read and understand them before using those sites.

Our Terms and Conditions change from time to time, and you agree that you are aware of the latest Terms and Conditions at any time. These Terms and Conditions are made under the laws of England and Wales, and that is the only jurisdiction which can govern it.

If something outside our control happens and that prevents us from performing our services then you accept that we are not liable for the consequences of that failure (this includes such things as strikes, riots, fires, explosions, war, floods and so on). If such an event does happen, we will tell you as soon as we are able and resume the service as soon as we can. If we cannot perform the service within a reasonable time, we can cancel it.

These Terms and Conditions contain the entire understanding between us.

Complaints

We take complaints seriously and we will investigate every complaint thoroughly. Please provide as much information as possible when making a complaint, i.e. (Date, time, location, driver number, reason for complaint), via e-mail on [email protected].
